Remote Workforce Management with Microsoft Intune
Background
Since 1998, our client has been providing specialist insurance services across the US and UK from their HQ base in Bermuda. Working within a highly regulated environment where compliance and regulation are key, the client is governed by the need to protect and safeguard data as well as provide streamlined operational processes to ensure efficiency and productivity.
In June 2021, Greystone was appointed to design and execute a strategic plan for mobile device management with the rollout of Microsoft Intune across their remote fleet in the US and UK.
What was the challenge the client was facing?
The client provides services primarily to the US market, which by design, means they have a dispersed workforce. As this workforce has grown and technology has advanced, so has their need to provide a higher level of security and device management to the remote teams. In the absence of in-house capabilities, they sought the skills from Greystone who has a demonstrable track record in this specialist area.
What was the approach?
Greystone was appointed to run this business-critical project over a 12-month period which included the rollout of Microsoft Intune, with the implementation of a strategy to eliminate technical debt and the design of a blueprint for future onboarding of devices.
Based on their previous success story, the Greystone team developed a robust implementation strategy, kicking off with a comprehensive audit period involving 270 desktops and 100 mobile devices across three countries.
Speaking about the engagement Ben McDougall, Director of IT Services said: “Our client approached us as they had read about the work we had completed on a previous Microsoft Intune project. From our initial conversation, we understood the challenges they were facing in a regulated environment with a dispersed global workforce. We also identified areas we could provide added value to their IT processes.”
What solution did Greystone implement?
Surprisingly, the initial challenge Greystone faced, wasn’t that of geography! As an organisation that has grown organically and created a demand for its services, the client was relying on Greystone to identify and analyse the areas requiring attention and deliver a solution that satisfied all these requirements with minimal stress, time and resources.
Greystone knew the key to successful delivery, would be to work closely with their central management team based overseas. Despite the geographical distance, the tools Greystone utilised alongside their expertise, as well as the universal shift in mindset from locality to global opportunity, facilitated a collaborative working relationship.
What were the results
On a project like this, there are many moving parts that Greystone needed to consider: distribution of service delivery, compliance and regulation, internal stakeholders, security and education of the workforce, all of which were identified with steps taken to mitigate risk.
Throughout the process, Greystone identified further areas they could help primarily surrounding the onboarding of new employees, and associated IT equipment and devices. As part of the rollout for Intune, Greystone designed and incorporated a blueprint for the physical delivery of devices and organisational systems, ensuring a smooth and secure process which ultimately improves cyber security protocol and asset management.
Greystone had the proven track record to give confidence we would deliver – they did and then some. Greyston’s tenacity and desire to provide an all-round solution has meant that the client’s workforce is safe and secure, regardless of their location and we have dramatically reduced their technical debt whilst future-proofing the client with a blueprint they can roll out for years to come.
